Why a written schedule matters
Instalments are convenient, but they create a record that both the family and the academy must agree on. When the plan lives only in a phone call, three things usually go wrong: a date is remembered differently, a part-payment is treated as a full instalment, and nobody can say what the real outstanding balance is today.
A written schedule fixes this because it answers, in advance, the four questions that cause arguments: how much in total, how much now, how much remains, and what happens if a date slips.
What a clear instalment schedule contains
| Field | Why it matters |
|---|---|
| Total course fee | The full commitment, stated once, so instalments are never mistaken for the whole fee |
| Number of instalments | Makes the plan finite and checkable |
| Amount per instalment | Removes guesswork about what is due today |
| Due date per instalment | Turns a vague promise into a calendar commitment |
| Payment mode and reference | Cash, UPI or bank transfer, with the transaction reference for tracing |
| Running balance | One agreed figure for what is still outstanding |
| Written fee policy | What is and is not refundable, and how changes are handled |
Ask for the schedule in a form you can keep — a printed plan or a digital record — not only a verbal explanation at the time of admission.
The receipt is the important document
A payment is only proven by its receipt. Before you leave the counter or close the payment screen, check that the receipt names the student, the amount, the date, the payment mode, any reference number, and the balance after this payment. A receipt that shows only an amount and a date is weak evidence, because it cannot show what the payment was for or what remains due.
Keep receipts in one folder for the whole course. At the end of the year, add up the receipts and compare the total with the fee plan. If the two disagree, that gap is the question to raise, with the receipts in hand.
When a due date has to move
Genuine delays happen. The clean way to handle one is to ask before the date passes, agree the new date, and have the record updated with the reason and the revised date. A rescheduled instalment should still show as an instalment — with its own date — rather than being quietly folded into the next payment. That single habit keeps the overdue list honest and stops one slipped date from hiding behind another.
Three habits that prevent almost every dispute
- Pay against a named instalment, not "some amount now". Say which instalment the payment is for and make sure the receipt reflects it.
- Read the balance, not just the receipt. The balance figure is what tells you how far along the plan you are.
- Reconcile once a term. Compare total receipts against the plan. Small gaps found early stay small.
Warning signs in a fee plan
Be cautious when the total fee is never written down, when instalments are described only as "pay when you can", when receipts are not numbered or not issued, or when the outstanding balance can only be quoted verbally. None of these make an academy dishonest, but all of them make an honest disagreement impossible to resolve.

Frequently Asked Questions
Should a coaching fee instalment plan be in writing?
Yes. The total fee, each instalment amount, each due date and the written fee policy should be recorded before the first payment, not recalled from memory later.
What proof should I get after paying an instalment?
A numbered receipt showing the student, amount, date, payment mode, any reference number and the balance still due. Keep it with the admission papers.
Can an instalment date be changed?
It can, but the change should be requested in advance, agreed with the academy and recorded with the reason and the new date, so the schedule and the balance stay accurate.
